HR document management with a complete, protected personnel file

HR holds some of the most sensitive documents in the organization — offer letters, I-9s, benefits enrollments, performance reviews, disciplinary records. DocuPro keeps a complete personnel file per employee, moves onboarding and review paperwork through workflow, and enforces who can open what by document type and department. Managers see their team's reviews; only HR sees medical and payroll documents.

Document types
Personnel fileOffer letter, I-9, W-4, and policy acknowledgements by employee
Onboarding packetRouted for signature and HR review
Performance reviewAnnual and probationary reviews indexed by period
Benefits enrollmentRestricted to HR and the employee's own record
Disciplinary recordRestricted document type visible to HR leadership only

Index fields are yours to define. Add, rename, or look them up from another system — searches, security rules, and workflow routing all key off the same values.

A workflow that follows your stages

An example of how human resources documents move through DocuPro. Stages, tasks, routing, and notifications are configured to match how your team already works.

Stage 01
Collect
Onboarding forms uploaded or emailed by the new hire
Stage 02
Sign
Employee and manager signature stamps applied in the viewer
Stage 03
HR review
HR verifies completeness; missing items trigger a task
Stage 04
Filed
Packet filed to the personnel record with retention date

Access decided by the document itself

Users authenticate with Microsoft Entra ID single sign-on. Groups grant what a role can do, folders scope where documents live, and security rules filter by index values. A document a user cannot see never appears in search, queues, print, or export.

EXAMPLE RULE
group = Managers

type = Performance Review
where Manager = user.name
→ managers see only their direct reports' reviews

Why DocuPro fits human resources

One personnel file per employee
Every document indexed by Employee ID, searchable in seconds, with the original retained.
Onboarding that routes itself
Packets move from collection to signature to HR review, with tasks for whatever is missing.
Sensitive types locked down
Document-type and index-based rules keep medical, payroll, and disciplinary records visible only to those who must see them.
Retention you can act on
A Retention Date index field plus scheduled notifications flag files that are due for review or disposal.

Frequently asked questions

Can managers see only their own team's documents?

Yes. A security rule such as “Manager = user.name” on the Performance Review type limits visibility to direct reports, while HR groups retain full access.

Can employees sign onboarding documents in DocuPro?

Yes. Signature and stamp annotations are applied in the built-in viewer, and each signed version is retained.

Does DocuPro support single sign-on?

Yes. Users authenticate with Microsoft Entra ID SSO, and user groups control what each role can do.
